• The status and stage of each coach relationship (e.g., To Contact, Emailed, Replied, Interested, Offered)
• Follow-up dates, activity logs, and notes associated with your outreach
• The subject line, recipient, and body of emails sent through our Platform

• IP address, browser type, and device information
• Pages visited, time spent on the Platform, and interaction data
• Cookies and similar tracking technologies to improve your experience

• If you connect your Gmail account, we request permissions to send emails on your behalf and to read incoming emails for the purpose of detecting and displaying replies from college coaches within the Platform. We store reply content as part of your outreach history. We do not access emails unrelated to your recruiting activity.
• We do not access your Google contacts without your explicit permission

• If you subscribe to a paid plan, billing and payment information is collected and processed by our third-party payment processor, Stripe. We do not store your full credit card number. We retain billing records including subscription status and transaction history.

CollegeOffer.ai allows you to create a public athlete profile that is visible to anyone with the link, including college coaches, recruiting staff, and members of the general public. Your public profile may include:

• Your name, photo, sport, position, and graduation year
• Athletic statistics and performance information you choose to display
• Academic information you choose to display, including GPA and test scores
• Highlight video links
• Your NCAA or NAIA Eligibility Center ID number
• Contact information you choose to make public

You are in control of what appears on your public profile. You may update, limit, or remove information from your public profile at any time through your account settings. However, please be aware that:

• Information you make public can be viewed, saved, or shared by anyone who accesses your profile link
• We cannot control how third parties use information they view on your public profile
• Removing information from your profile does not guarantee it has been removed from any third-party records or search engine caches

We strongly encourage you to only include information on your public profile that you are comfortable sharing broadly.

We use the information we collect to:

• Create and maintain your account and athlete profile
• Send recruiting emails to college coaches on your behalf via your connected Gmail account
• Sync and display incoming email replies from coaches within your recruiting dashboard
• Track your outreach activity and provide you with sending history, coach status, and follow-up reminders
• Improve and personalize your experience on the Platform
• Communicate with you about your account, updates, and Platform features
• Process payments and manage your subscription
• Enforce our Terms of Service and protect the safety and integrity of the Platform
• Comply with applicable laws and regulations

We do not use your information to train artificial intelligence models without your explicit consent.

We do not sell your personal information. We do not share your personal information with third parties for their marketing purposes.

We may share your information in the following limited circumstances:

• Public Profile: Information you include on your public athlete profile is visible to anyone with access to your profile link, as described in Section 2
• Service Providers: We may share information with trusted third-party vendors who help us operate the Platform, including hosting providers, analytics services, email infrastructure providers, and payment processors. These vendors are contractually required to protect your information and use it only for the purposes we specify
• Legal Compliance: We may disclose your information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, safety, or property of CollegeOffer.ai, our users, or the public
• Business Transfer: In the event of a merger, acquisition, or sale of all or part of our business, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have

When you connect your Gmail account to CollegeOffer.ai:

• We request permissions to send emails on your behalf and to read incoming emails for the purpose of syncing coach replies into your recruiting dashboard
• We access only emails relevant to your recruiting activity. We do not read, store, or analyze unrelated personal emails in your inbox
• Emails sent through our Platform will appear in your Gmail Sent folder
• Coach replies detected through our sync will be stored on the Platform and displayed in your outreach history
• You may disconnect your Gmail account at any time through your account settings
• Upon disconnection, we will no longer send emails or sync new messages through your account. Reply data already synced and stored on the Platform will be retained in accordance with our data retention policy in Section 6
• We store the subject line, recipient, and body of emails sent through our Platform for your records and outreach tracking

Our use of Gmail data complies with Google's API Services User Data Policy, including the Limited Use requirements.

We retain your personal information for as long as your account is active or as needed to provide you with our services. If you delete your account:

• Your private account data will be deleted within 30 days
• Your public profile will be removed from public access within 30 days
• Email outreach records, including sent emails and synced replies, may be retained for up to 90 days for compliance and dispute resolution purposes
• Billing records may be retained longer as required by law or financial regulations
• Some information may be retained longer if required by law

You have the following rights regarding your information:

• Access: You may request a copy of the personal information we hold about you
• Correction: You may update or correct your information at any time through your account settings
• Deletion: You may request deletion of your account and personal information
• Public Profile Control: You may update or remove any information from your public profile at any time
• Gmail Disconnection: You may disconnect your Gmail account at any time through your account settings
• Opt-Out of Communications: You may opt out of non-essential communications from us at any time

Nevada Residents: Offer Engine LLC is a Nevada company. We comply with Nevada's online privacy law (NRS Chapter 603A). Nevada residents may submit a verified request to opt out of the sale of their personal information. We do not sell personal information, but you may submit such a request to the contact below and we will confirm our practices.

California Residents: If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information.

CollegeOffer.ai is intended for use by high school student-athletes and their families. Many of our users may be under the age of 18. We do not knowingly collect personal information from children under the age of 13 without verified parental consent. If you are under 13, please do not use this Platform without a parent or guardian.

If you are a parent or guardian and believe your child under 13 has provided us with personal information without consent, please contact us immediately and we will take steps to remove that information.

We take reasonable technical and organizational measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data storage, secure connections, and access controls.

However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security and encourage you to use a strong, unique password and protect your account credentials.

Our Platform and resources page may contain links to third-party websites, including college program websites, the NCAA Eligibility Center, and other recruiting resources. We are not responsible for the privacy practices of those sites and encourage you to review their privacy policies before providing any personal information.

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by posting a prominent notice on the Platform. Your continued use of CollegeOffer.ai after any changes constitutes your acceptance of the updated policy. The effective date at the top of this policy will always reflect when it was last updated.
